Outdoor events can be great settings for photo booths, DJs, PA systems, photography, printing, and guest experiences, but outdoor production requires more planning than simply moving indoor equipment outside.
Confirm where power will come from
Do not assume an outdoor venue has usable outlets near the service area. Confirm the power source, distance from the setup, circuit availability, extension routing, and whether other vendors will share the same power.
Know which services depend on power
DJ systems, PA speakers, photo booths, event printers, sharing stations, displays, lighting, and charging equipment all depend on reliable electricity. If venue power is unavailable or unsuitable, portable power may need to be included in the proposal.
Wi-Fi affects guest sharing
Digital photo and video delivery works best when the venue provides dependable internet. A venue saying “we have Wi-Fi” does not always mean the signal is strong at the actual booth location.
Portable connectivity may be needed
If Wi-Fi is unavailable or weak, a portable internet solution may be appropriate. This is why connectivity should be discussed during pre-quote qualification rather than discovered during setup.
Weather protection is part of the plan
Rain is not the only concern. Wind, direct sun, heat, humidity, soft ground, uneven surfaces, and sudden weather changes can affect equipment safety and guest use.
Plan cable routes and guest safety
Power cables should not create uncontrolled trip hazards across guest paths. The location of tents, tables, dance floors, food service, entrances, and walkways should be considered before equipment placement.
Have an indoor or covered backup when possible
An alternate location can save an outdoor event when conditions change. The backup area should still meet space, power, sound, and guest-flow requirements.
Tell the provider the outdoor details before quoting
Provide the venue, surface type, available power, Wi-Fi, tent or cover, load-in route, setup time, service location, and backup plan. Those details can determine whether portable power or connectivity is required.
