Corporate AV planning is often underestimated because the equipment looks simple on paper. A microphone, speaker, laptop, screen, or presentation feed can become a problem quickly if power, room layout, audio routing, setup access, and the event agenda are not confirmed in advance.
Start with the room and audience
Document the room size, expected attendance, seating layout, stage or presentation area, ceiling height, and whether the event is indoors or outdoors. These details influence speaker placement and microphone coverage.
List every person who needs a microphone
Identify presenters, moderators, panelists, hosts, award presenters, performers, and audience Q&A needs. The number of simultaneous speakers determines the microphone and mixer plan.
Confirm presentation audio
If a laptop, video, slide deck, or remote participant will play audio through the room system, that should be tested before guests arrive. Do not assume the venue’s display and sound system automatically work together.

Build in sound-check time
A sound check is not only for musicians. Presenters should test microphones, playback, and any presentation audio before the program begins.
Coordinate with the venue
Confirm loading docks, freight elevators, parking, security check-in, vendor badges, setup windows, teardown deadlines, and any house-AV restrictions.
