Corporate AV problems usually start with something small: the wrong cable, a microphone that was never tested, a laptop with no audio route, or a speaker placed where half the room cannot hear it. The equipment list matters, but the room and agenda matter more.
Work backward from the program
Start with who will speak, how many microphones may be live at once, whether there is a panel, whether guests will ask questions, and whether video or presentation audio needs to play through the room system.
Then look at the room: attendance, seating layout, stage position, ceiling height, indoor or outdoor use, and any overflow or breakout areas. Those details affect speaker placement and whether more than one sound zone is needed.
Confirm the signal path before event day
If a laptop, video, slide deck, remote participant, or playback device needs to be heard through the PA, test the full path before guests arrive. Do not assume a venue display and a sound system automatically talk to each other.
Power and cable routing also need to be checked in advance. Corporate venues may restrict extension cables, floor crossings, equipment placement, loading docks, freight elevators, or vendor access times.
Give the sound check real time
A sound check is not just for musicians. Presenters should test microphones, playback, and presentation audio while there is still time to fix something.
