New Jersey Event Photography Shot List: What Should You Ask Your Photographer to Capture?

A useful event-photography shot list is not a giant checklist of every possible picture. It is a short guide that tells the photographer which people, moments, details, and priorities matter most to the client.

Start with the event timeline

Share the schedule before the event. Important moments such as introductions, speeches, awards, cake cutting, performances, presentations, or special dances should have approximate times.

Identify must-capture people

List key family members, executives, sponsors, honorees, speakers, VIP guests, teams, or groups that should be photographed intentionally rather than left to chance.

Capture the venue and details

Before the room fills, photograph décor, signage, branding, tables, stage setup, sponsor displays, floral arrangements, awards, products, or other details that help tell the story of the event.

Plan important group photos

Group portraits are easier when the client identifies them in advance. Examples include immediate family, wedding party, executive team, event committee, award recipients, sponsors, or graduating class groups.

Include candid guest interactions

Candid images often become the most natural part of the final gallery. Networking, laughter, dancing, conversations, hugs, reactions, and unscripted moments help document the atmosphere.

Photograph speakers and program moments

For corporate, nonprofit, school, or formal events, include podium shots, audience reactions, panel discussions, awards, performances, demonstrations, and key stage moments.

Think about intended use

Photos for social media, internal recap, press, sponsors, future marketing, or personal memories may require different priorities. Tell the photographer where the images are likely to be used.

Do not over-script the photographer

A shot list should guide priorities, not prevent the photographer from reacting to the event. Leave room for spontaneous moments and changing timelines.
